Privacy policy

Version 1.1 · effective from 15 September 2026.

1. Data controller

The data controller is FAMILY DOC sp. z o.o., registered in Kielce, Poland, at ul. Karola Olszewskiego 6, 25-663 Kielce, entered in the Polish court register (KRS) under number 0001249310, NIP 9592094470. Contact: familydoc@familydoc.pl. The company has not appointed a Data Protection Officer.

2. Scope

This policy applies only to the familydoc.pl website (Polish and English versions). It does not cover any other FamilyDoc service, application or product.

3. What the site collects

The site has one form — the early-access sign-up in the "Sign up for early access" section. Through it we collect only: an e-mail address, optionally a first name, confirmation of consent to be contacted, and the time of signup (as evidence of consent). Nothing else. The site still uses no cookies, no browser storage, no analytics, no third-party scripts and no embedded content, and it does not transfer data outside the European Economic Area.

4. Sign-up form

The sign-up form sends your entry — e-mail address and, optionally, first name — straight to our mailbox at familydoc@familydoc.pl. It is handled by a script on our own server in Poland; we do not use any external form provider, and besides the hosting provider (see section 5) no other party processes this data. The legal basis is your consent, given by ticking the consent box in the form (Article 6(1)(a) GDPR). The data is not transferred outside the European Economic Area. We keep it until early access opens and the start notice is sent, no later than 12 months after signup, unless you withdraw consent earlier. You can withdraw consent at any time by writing to familydoc@familydoc.pl.

5. Hosting

The site is hosted on servers operated by SeoHost in Poland. The hosting provider processes the standard technical data needed to serve the page (e.g. IP address, the time and address of the request) solely to run and secure the server; it does so under its own rules as the party operating the infrastructure. We do not use this data ourselves. The same server also runs the script that handles the sign-up form (api/zapis.php); it sends an e-mail and keeps no copy of the submission on disk.

6. E-mail contact

If you write to familydoc@familydoc.pl, we process your email address and the content of your message only to reply. The legal basis is our legitimate interest in handling correspondence (Article 6(1)(f) GDPR). If you ask to be told when early access opens, we keep your address until we send that information or until you ask us to delete it. The mailbox is hosted with the same hosting provider in Poland. We do not pass this data on to anyone else.

7. Your rights

You have the right to:

Just email familydoc@familydoc.pl. You can also lodge a complaint with the Polish supervisory authority, the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych, UODO), ul. Stawki 2, 00-193 Warszawa, Poland.

8. Age

The site is intended for adults. We do not knowingly process the data of anyone under 18; if someone under 18 writes to us, we delete their message after replying.

9. Automated decisions

We do not make automated decisions and we do not profile visitors.

10. Changes

We publish new versions on this page with the date they take effect.
